Welcome to Nomad Explorer Tours. These Booking Terms & Conditions govern all bookings made with our company for Tanzania safaris, Mount Kilimanjaro climbs, Zanzibar holidays, cultural tours, and other travel services. By confirming your booking, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
1. Booking Confirmation
A booking is considered confirmed only after:
- We receive the required deposit.
- We send you a written booking confirmation.
- All requested traveler information has been provided.
The booking confirmation forms a contract between you and Nomad Explorer Tours.
2. Deposit & Payment
To secure your reservation, the following payments are required:
- Safari Lodging Packages: 50% non-refundable deposit.
- Camping Safaris: 30% non-refundable deposit.
- Flight Tickets: 100% payment at the time of booking.
All bank transfer charges and transaction fees are the responsibility of the client.
3. Prices
Our prices include only the services listed in your confirmed itinerary. Unless specifically stated, prices do not include:
- International flights
- Visa fees
- Travel insurance
- Personal expenses
- Alcoholic beverages
- Optional activities
- Tips and gratuities
Prices may change due to government taxes, park fees, or supplier increases before final payment.
4. Required Travel Information
Before your trip, you must provide:
- Full passport name
- Nationality
- Passport number
- Passport expiry date
- Date of birth
- Emergency contact
- Dietary requirements
- Medical conditions relevant to your trip
Failure to provide this information may delay or affect your booking.
5. Travel Documents
It is your responsibility to ensure that you possess:
- A valid passport (minimum six months validity)
- Required visas
- Vaccination certificates where applicable
- Any other travel documentation required by Tanzania or your transit countries
Nomad Explorer Tours is not responsible for denied entry due to missing or invalid documents.
6. Travel Insurance
Comprehensive travel insurance is strongly recommended for all travelers. Your insurance should cover:
- Medical emergencies
- Trip cancellation
- Trip interruption
- Emergency evacuation
- Lost luggage
- Flight delays
- Adventure activities, including Mount Kilimanjaro climbing
7. Changes to Your Booking
If you wish to change your itinerary after confirmation:
- Requests must be submitted in writing.
- Changes are subject to availability.
- Additional costs may apply.
- Changes requested within 7 days of departure may not be possible.
8. Cancellation by the Traveler
All cancellations must be submitted in writing. Cancellation charges apply as follows:

| 50–65 days before arrival | 50% of total tour cost |
| Less than 50 days before arrival | 100% of total tour cost |
No refunds are available for: Unused accommodation, missed activities, early departure, no-shows, or voluntary withdrawal from the tour.
9. Cancellation by Nomad Explorer Tours
We reserve the right to cancel or modify a tour due to Force majeure, natural disasters, government restrictions, political instability, safety concerns, weather conditions, or insufficient participants. Where possible, we will offer:
- An alternative departure
- A similar itinerary
- A travel credit
- A refund for services not already committed to suppliers
10. Force Majeure
Nomad Explorer Tours shall not be liable for delays, changes, or cancellations resulting from events beyond our reasonable control, including but not limited to: floods, earthquakes, pandemics, civil unrest, government actions, flight disruptions, wildlife conditions, and extreme weather.
11. Health & Fitness
Guests are responsible for ensuring they are medically fit for their chosen trip. For Mount Kilimanjaro climbs, clients should consult their physician before travel. Any medical conditions must be disclosed before booking.
12. Client Responsibilities
Clients agree to follow the instructions of guides, respect local customs and wildlife, comply with national park regulations, and behave respectfully toward staff and other travelers. We reserve the right to remove any traveler whose behavior endangers others without refund.
13. Limitation of Liability
Nomad Explorer Tours acts as an organizer of travel services. We are not liable for airline delays, lost baggage, third-party supplier failures, personal injury resulting from traveler negligence, or loss of valuables. Our liability shall not exceed the amount paid for the booked services.
14. Photography & Marketing
During your trip, photographs or videos may be taken for promotional purposes. If you do not wish your images to be used, please notify us in writing before your tour begins.
15. Privacy
All personal information is collected solely for the purpose of arranging your travel. We never sell or share your personal information except where necessary to deliver your booked services or where required by law.
16. Complaints
If you experience any issue during your tour, please inform your guide or our office immediately so that we have an opportunity to resolve the matter. Formal complaints should be submitted in writing within 14 days after the completion of your tour.
17. Governing Law
These Terms & Conditions are governed by the laws of the United Republic of Tanzania. Any disputes arising from these terms shall be subject to the jurisdiction of the Tanzanian courts.
